Yabie Loyalty

Yabie Loyalty lets you reward returning customers with a flexible Loyalty program. Members earn points on purchases and redeem them for rewards. You decide how points are earned, which products count, and when rewards unlock—giving you full control. This guide covers setup, member management, and redemptions.


Get started - Set up your Loyalty program

Navigate to Backstage and select Customers → Loyalty program. When creating a new Loyalty program, you will be asked to fill out the following information:

  • What is your loyalty program called?

  • If you have multiple locations, which locations will participate in the program?

  • Would you like your points to expire, and if so, how long should they be valid for?

  • Which products and categories should be eligible for earning points?

  • What’s the ratio of money spent to points earned? (E.g spend 1 SEK = earn 1 point)

  • Will members need to spend a minimum amount for a purchase to earn points?

Get started - Set up your Rewards

Rewards are always a discount in some shape or form, the discount can be a percentage or an amount. By working with these elements, you can create rewards like these examples:

  • A free coffee

  • 25% off on all sandwiches

  • 50 SEK off on an entire purchase

Your loyalty program can have up to 10 active rewards.


Sign up Loyalty members

In order for a customer to be part of your Loyalty program you need to sign up your customer to become a member. This is done from the till trough the Members functions button. All you need from the customer is their mobile number as this is what you will use to identify them, you can also choose to add the customers name and email but this is not mandatory.
Once you’ve saved the member they will receive a link through SMS, in this link they will be able to add their name and email if you have not already entered this, and they will need to read and accept the terms and conditions.

Customers can also sign themselves up. For example, you can create a QR code with the link, and then place that QR code on a table talker, on the counter, on menus etc.
Upon scanning the code, your member will open a web page where they provide their mobile number. They receive an SMS as a way of verifying of their mobile number. They should then click the link to follow the same steps as in the process where you invite them from the till.


Add a Member to a sale

You can add a member before adding items to the basket, while the sale is in progress, or at checkout. To add a member, use the Member functions button


Earning points

Members earn points by spending money in your store. When you set up your loyalty program, you decide how many points a member should earn based on what they spend in your store.
For example, you could decide that 1 SEK is worth 1 point, or that 1 SEK is worth 10 points. Points are earned for all payment methods, including Yabie gift cards.
Members will never earn points on purchases of Yabie gift cards or tips.


Redeeming rewards

Rewards unlock as members earn points and reach set thresholds. For example, a 500-point reward becomes available once a member's balance reaches 500 points.
At checkout, the till displays unlocked rewards for identified members. They can choose to redeem, save, or skip a reward. To apply a reward, simply tap it.

If a reward applies only to certain products or categories, those items must be in the basket before adding the reward. If no eligible items are present, the reward won’t apply, and no points will be used.

Once the purchase has been made with a reward applied, the point value of that reward is deducted from your member’s point balance.

For example, if your member has a point balance of 587 and redeems a 500 point reward, their balance will be 87 points following that purchase.

What happens if a reward is worth more than the value of a sale?

If a member redeems a 100 SEK reward on a 90 SEK purchase, they pay nothing, but the entire reward is used. Rewards can't reduce a sale below zero or be converted into cash, and any unused value is lost.



FAQ

Can members unenrol from my loyalty program?

Yes, with your help. Find the member in the member database on the till and unenrol them from there.

Can members request their data or request to be forgotten?

Yes, members can have their membership deleted, or they can exercise their data subject rights (e.g., access, rectification, erasure) under the GDPR.

There are two types of requests to consider. It is important that you make sure to clarify which of these your customer is requesting:

  1. Membership Deletion: If a member requests their membership to be deleted, you can process this through the Loyalty settings in the till settings menu. This will remove them as a member within your Loyalty Program.

  2. Data Deletion: If a member wishes to exercise their data subject rights under the GDPR, they should send their request to DSR@yabie.com.

When do points expire?

When you create your loyalty program you decide whether your points should expire, and if so, after how long. If you choose to let your points expire, they will do so on a monthly basis, at the end of the month.

Example:

  • Your points are valid for a year

  • Your member makes three purchases on August 3rd, 15th and 22nd 2025

  • If these points haven’t been used by August 31st 2026, they will expire.

What happens if a member makes a return on a sale that generated points?

Points generated by a sale will be deducted proportionally if that sale is completely or partially refunded.
However, a member’s point balance can not go below zero, regardless of sales, redemptions and returns made.

Can I check the point balance for a member?

Yes, there are two ways to see the point balance for a member:

  • Open the member management section on the till and search for the member using their mobile number

  • Add the member to a purchase. The member’s balance will be displayed along with any applicable rewards

Can I change the point balances of my members?

Yes, with the proper permissions on the till, you can both add and subtract points from a member’s account. For example, you may want to use points as a way of compensating a customer.
